The Opportunity

PBA, now part of Stantec, are currently looking for an experienced Executive Assistant to join us on a permanent basis in our vibrant Bristol office. Reporting into the Administrative lead within the Bristol office, key responsibilities will include:

  • Providing an effective service to support the general office, technical teams, managers, groups and boards, as part of the wider Administrative team
  • Co-ordinating and managing the delivery of works produced by multi-disciplinary technical teams
  • Formatting and finalising proposals, reports, bids, presentations and correspondence to ensure work is completed to a high, professional standard.
  • Liaison with external contacts, assisting with report writing and setting up projects using internal management systems.
  • Extensive and proactive diary management including arranging and managing appointments, lunches, travel and accommodation, and producing itineraries and other documents as required.
  • Providing office support such as meeting and greeting visitors to the office in a professional and friendly manner, answering telephones, scheduling and managing meetings, logging and distributing incoming and outgoing post, filing and other general duties.
  • Ensuring that QMS procedures are adhered to at all times by colleagues, and helping to coach individuals to undertake things in the right way.
  • Organising meetings, typing up letters, e-mails and other relevant documentation.
  • Supporting junior colleagues within the team as required on an ad-hoc basis
  • Effectively manage any other ad-hoc administrative duties as required

 About You:

  • Strong administrative experience, ideally from a similar consultancy background would be desirable, although not essential.
  • Experience of formatting and finalising proposals and bids through effective liaising with technical and subject matter experts.
  • Excellent working knowledge of Microsoft Office, (particularly Word, Excel, PowerPoint and Outlook), with Adobe InDesign or similar graphic design software desirable.
  • Proven experience in the creation of high-quality reports and presentations.
  • Strong project co-ordination skills with the ability to work on multiple projects simultaneously and prioritise workload
  • Be proactive, efficient, accurate, and able to work unsupervised.
